Cold Email Deliverability: 9 Mistakes That Send You to Spam

Deliverability isn't about the copy — it's about the plumbing. Here are the 9 mistakes that send your outreach to the spam folder, and what to do instead.

1. Sending from a domain with no warm-up A brand-new domain that starts blasting 500 emails on day one gets flagged immediately. **Fix:** warm up over 2–4 weeks, starting at 10–20 emails/day and scaling up.

2. No SPF, DKIM, or DMARC records These three DNS records prove you're allowed to send from that domain. **Fix:** set all three up before your first send — they're free and take minutes.

3. A .com domain you just bought Fresh domains have zero reputation. **Fix:** let the domain age a few weeks before heavy sending, and keep the same domain for your site and your sending.

4. Identical content to 500 people The spam filter compares your email to every other email you've sent. Identical templates are a mass-detection trigger. **Fix:** personalize at least one specific detail per prospect — company, role, or product mention.

5. Link-heavy emails Three links in your first email to a stranger is a spam signature. **Fix:** one link maximum. Better: zero links in the first touch — reply first, link later.

6. Salesy words in the subject line "Free," "Guaranteed," "Act now," "$$$" — these are classic spam-trigger words. **Fix:** write subject lines a human would: specific, boring, and relevant.

7. No plain-text version Some email clients render only the plain-text version, and HTML-only emails can look like phishing. **Fix:** always send a text/plain alternative.

8. Buying lists Purchased lists are full of dead addresses and spam traps — one trap and your domain's reputation takes a hit. **Fix:** build your own list, one verified prospect at a time.

9. Ignoring bounce rates A bounce rate above 5% tells Google and Microsoft your list is dirty. **Fix:** clean bounces immediately, remove hard bounces permanently, and keep soft bounces under 2%.
